Fleet Privacy Policy

Effective Date: 12/01/2025

At Fleet, we take your privacy and data protection seriously. This Privacy Policy explains how Fleet Device Management Inc. (“Fleet,” “we,” “our,” or “us”) collects, uses, shares, and protects personal information across our services, websites, and products. It also explains your rights and choices regarding your information.

This Policy applies to all Fleet services, including:

  • Fleet Websites

  • Fleet SaaS platform (fleetdm.com)

  • Fleet Self-Managed products

“Personal information” refers to data that identifies, relates to, or could reasonably be linked to an identifiable individual.

1. Device & Endpoint Data

Data Collected

When you install or use Fleet on managed endpoint devices, we may collect technical and operational data such as:

  • Device name, OS version, software installed, and system status

  • Security settings (e.g., disk encryption enablement)

  • Memory, processor type, and serial numbers

  • Device uptime, battery health, private/public IP addresses

  • Username associated with the device and approximate location

Purpose and Use

This information is collected solely to:

  • Manage, monitor, and secure enrolled devices

  • Support troubleshooting and ensure compliance with organizational policies

  • Improve performance and reliability of Fleet software

Fleet does not use endpoint data for marketing or promotional purposes.Fleet does not sell or share this information with any third parties.

Retention and Security

Endpoint data is retained only as long as necessary to fulfill the purposes outlined above. Fleet uses administrative, technical, and physical security controls to protect data against unauthorized access, loss, or alteration.

All customer data will be deleted upon termination of the Fleet services or upon customer’s request.

2. User & Account Data

Data Collected

When you create an account or use the Fleet Console (SaaS or Self-Managed), Fleet may collect:

  • Name, username, and email address

  • Password and authentication credentials

  • Company or organization name, role, and contact details

  • License usage and version data (for SaaS and self-managed deployments)

  • Payment or billing details (if applicable)

Purpose and Use

User data is collected and processed to:

  • Create, verify, and manage user accounts

  • Provide access to services and customer support

  • Send operational communications (e.g., updates, alerts, notices)

  • Process payments and maintain billing records

  • Improve services and ensure system security

Fleet does not sell personal data and uses it only for legitimate business and operational purposes.

Sharing and Retention

Fleet may share limited user data with trusted service providers (such as payment processors, analytics vendors, or hosting providers) under strict confidentiality and data-protection agreements. Data is retained as long as necessary to maintain the account, comply with legal obligations, or resolve disputes.

Your Rights

Users may:

  • Access, correct, or delete their data

  • Opt out of marketing communications

  • Close their accounts at any time

3. Website & Marketing Data

Data Collected

When you visit Fleet websites, we may automatically collect:

  • IP address, device and browser type, and language settings

  • Pages viewed, referral sources, and usage analytics

  • Data gathered via cookies, pixels, and similar technologies

Purpose and Use

Fleet uses this data to:

  • Operate and improve website functionality

  • Analyze site traffic and usage trends

  • Deliver personalized content and marketing communications

  • Serve relevant advertisements through third-party partners

Cookies and Tracking

Fleet uses cookies and other tracking technologies for:

  • Session management and security

  • Performance analytics (e.g., Google Analytics, Pendo)

  • Interest-based advertising and email tracking

Users can manage or disable cookies via their browser settings and may opt out of interest-based advertising through our Cookie Policy.

4. Cross-Border Data Transfers

Our Services are hosted in the United States, and information we collect is stored and processed on our servers in the United States. Our employees, contractors, affiliated organizations, and service providers that process personal information may be located in the United States or other countries outside of your home jurisdiction.

If you reside in the European Economic Area (EEA), United Kingdom, or Switzerland, and we transfer your personal information to a country that has not been recognized by the European Commission as providing adequate protection, Fleet will implement appropriate safeguards, including:

  • Using Standard Contractual Clauses (SCCs) approved by the European Commission, or

  • Obtaining your explicit consent for such transfers.

These measures ensure your personal information receives the same level of protection as required under applicable data-protection laws.

5. Legal Basis for Processing of Your Information

If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland, we collect and process your personal information on the following legal bases as required by applicable law:

  • Performance of a contract: We use your personal information to provide the Services you have subscribed to, and to complete and administer the contract you have entered into with Fleet.

  • Legitimate interests:
    We use your personal information for our legitimate interests, such as to provide you with relevant content, improve our products and services, and for administrative, security, fraud prevention, and legal purposes. You may object to the processing of your personal information for these purposes at any time.

  • Consent:
    We may use your personal information, with your consent, for specific purposes such as marketing, surveys, and research. You may withdraw your consent for these specific purposes or object to processing at any time.

6. Security

Fleet employs layered administrative, technical, and physical controls to protect your information against unauthorized access, loss, misuse, or alteration.

7. Data Retention

Fleet retains personal information only as long as necessary to:

  • Provide services to users and customers

  • Meet contractual or legal requirements

  • Resolve disputes and enforce agreements

Inactive accounts and related data may be deleted after 12 months of inactivity.

8. Policy Updates

Fleet may update this Privacy Policy periodically. Updates will be posted on our website with a revised “Effective Date.” For significant changes, Fleet may also provide email notifications.
